Marketing Community Outreach Coordinator

Position Overview:

Working under the direction of senior staff, the Marketing & Community Outreach Coordinator performs marketing activities on behalf of our clients as well as our firm, assisting in the development and maintenance of transit programs, coordinating ridership and community outreach projects, and administering websites and social media. Performs activities related to creating marketing, customer, and public information materials; conducting ridership, pass sales, and other promotional activities; supporting branding initiatives; fostering community partnerships; and coordinating, staffing, and executing community outreach events, including event setup, public engagement, and client representation.

Unlike traditional in-house marketing positions, this role supports multiple public transportation agencies and public-sector clients throughout the United States. Successful candidates enjoy variety, learning new communities, and balancing multiple projects simultaneously.

This position requires travel throughout the United States. Successful candidates must be able and excited to travel up to 40% of the time including evenings and weekends. The ideal candidate would reside in Los Angeles County or Orange County, CA with the majority of work being performed remotely.

Primary Responsibilities:

  • Assist in the preparation and implementation of results-oriented Marketing Plans that achieve objectives and provide vision for clients;
  • Develop copy for media releases and advertising collateral;
  • Develop social media content and calendars; analyze analytics to support selections for paid advertising; engage followers;
  • Create copy, coordinate publishing, maintain client themes, ideas to streamline navigation, and ensure brand consistency for client websites;
  • Plan, coordinate, and execute community outreach events, public meetings, stakeholder engagement activities, surveys, and ridership promotions on behalf of public transportation clients; work with graphic designers to deliver content that meets the specifications and needs of the client (proficiency with Adobe Creative Suite preferred);
  • Coordinate multiple concurrent projects, schedules, deliverables, and deadlines while ensuring client expectations are met;
  • Track project progress and communicate status updates to project managers and clients;
  • Manage vendor relationships in print and other industries from start to finish including outreach, quotes, selection, production, and quality assurance;
  • Be accountable for quality assurance for deliverables as projects move through editing and approvals. Be aware of brand standards, AP style editing, tone and voice, and other parameters as necessary;
  • Analyze marketing, outreach, website, and social media performance metrics; prepare client-facing reports that translate data into actionable insights and recommendations. Identify opportunities to improve campaign effectiveness, customer engagement, ridership, and return on investment.
  • Monitor industry trends, platform changes, and emerging technologies that may influence outcomes, including SEO, social media algorithms, digital advertising platforms, and artificial intelligence tools;
  • Manage project deliverables through the review and approval process, ensuring accuracy, quality, adherence to client requirements, and timely receipt of all necessary approvals from Account Managers and clients.;
  • Update and maintain accurate and current outreach event tracking systems, including scheduling spreadsheets, the Moore & Associates master calendar, giveaway inventories, and other event-related tracking documents;
  • Be technically inclined and learn new software and skills as needed;
  • Be prepared for client facing interactions with excellent presentation, verbal, and written communication skills;
  • Assist in the preparation of proposals, qualifications packages, presentations, interview materials, and other business development efforts that support the firm’s continued growth; and
  • Assist with special projects, and other duties as assigned.

The successful candidate must be adaptable and willing to work a varied schedule to meet project and client needs. Preference will be given to candidates with service marketing experience.

  • Ability to work under pressure, to be flexible, and meet deadlines with minimal supervision.
  • Superb attention to detail (proof-reading, editing, tracking, and documentation);
  • Must be a critical thinker, with good organization and accuracy, with the ability to respectfully deliver a point-of-view.
  • Demonstrates personal accountability for the quality and accuracy of work. Reviews and proofreads completed assignments prior to submission to ensure they are complete and accurate.
  • Must be able to effectively present work and ask for and receive feedback from team members.

 

Required Qualifications and Proficiencies:

  • Bachelor’s Degree in Marketing, Advertising, Communications, Public Relations, or related field;
  • Minimum five years of professional experience in marketing, advertising, or public communications;
  • Demonstrated ability to coordinate projects, manage competing priorities, and maintain accurate records and documentation;
  • Demonstrated commitment to continuous learning and professional development;
  • Experience with social media platforms (Facebook, Instagram, X, TikTok, YouTube, Threads, LinkedIn);
  • Experience with digital marketing;
  • Experience with web-editing technologies (i.e., WordPress or Civic Plus), SEO, and coding a plus;
  • Bilingual (Spanish) OR experience in targeting minority/cultural audiences;
  • Excellent writing ability and usage of grammar and punctuation;
  • Strong organizational skills;
  • Ability to work in a fast-paced environment where creativity must be balanced with deadlines and budgets; and
  • Proficiency with Microsoft Office suite including Word, Excel, Outlook, and PowerPoint.

 

Strongly Preferred

  • Experience working with public agencies, government organizations, nonprofits, or service-based organizations.
  • Experience planning community outreach or public engagement activities.
  • Experience with WordPress, CivicPlus, or similar CMS platforms.
  • Experience with Google Analytics and website reporting.
  • Experience interpreting data and preparing client-facing reports.
  • Experience with Canva, Adobe Creative Suite, or similar design platforms.
  • An interest in public transportation and urban planning desired but not required.

 

Travel Expectations

Travel is an integral component of this position. The Marketing & Community Outreach Coordinator will be expected to participate in periodic company-paid travel assignments throughout the United States in support of client projects, surveys, public outreach activities, conferences, training events, and business development efforts. Travel may include overnight stays and weekend assignments depending upon project needs.
